Ask a builder where their sales data lives and you rarely get one answer. Leads are in a CRM someone set up two years ago, or in a WhatsApp group. Unit availability is in an Excel file that one person maintains and everyone else asks for. Site visits are in a diary. Bookings and advances are with accounts. Each of those is a defensible choice on its own, and together they guarantee that no two people in the business are ever looking at the same version of the truth.

The failures that follow are predictable and expensive. Two executives quote the same corner plot to two families in the same week. A temporary hold from last month is never released, so a sellable unit sits frozen while the team tells buyers it is gone. A portal enquiry arrives at 11pm and gets called back thirty hours later, by which point the buyer has visited two competitors. A family comes for a site visit, likes it, and is never followed up because the executive who met them was on leave and it was only ever written in their notebook.

Generic CRMs cannot fix this because they were never built for it. They model a deal as an amount and a close date, with no concept of a unit that exists in finite supply and moves through a lifecycle of its own. So the inventory goes back to a spreadsheet, the spreadsheet becomes the real system, and the CRM decays into a contact list. A sales executive and a sales head do not want to look at the same screen. The table view is for working a list — dense, sortable, built for a day of calls. The Kanban board is for the morning stand-up, where the question is how many leads are stuck in Contacted and what it will take to move them, and where a card is dragged to its next stage as the conversation happens.

Your entire portfolio, unit by unit, in real time

This is the module a generic CRM simply does not have, and it is the reason builders end up running their real business in a spreadsheet. PropX treats every unit as a tracked object with its own lifecycle — available, temporarily booked, booked, sold, registered, reserved or blocked — across every project you are selling.

The top of the screen is the number your management meeting opens with: total units, how many are still available, how many are committed at each stage, and the portfolio value that follows from it, with unpriced units flagged rather than silently counted as zero. Below it, each project shows its own absorption — apartment or plot, location, unit count and percentage sold — so a launch that has stalled is visible in the first five seconds rather than at month end.

Buyers do not think in table rows. They think in plot numbers and corner positions and which side faces the park. PropX takes your actual master plan drawing and makes it interactive: every unit on it is clickable and colour-coded by status, so a sales executive sitting across from a family can point at the drawing and say truthfully that this plot is open, that one went last week, and these three are on hold until Friday.

The same project page carries the photographs, the unit status counters, and grid and table views for people who prefer them. Units import in bulk rather than one at a time, an enquiry form can be published live against the project, and the whole thing exports to PDF or is shared as a link — so your channel partners are working from current availability instead of a price list you emailed a month ago.

Bookings

One ledger for every hold, booking and sale

Bookings are where money and inventory meet, and where most builders lose track. Every temporary hold, confirmed booking, sale and registration sits in one list grouped by project, with the unit number, the customer, the advance received and the deal value on each line.

Temporary holds are the detail that matters most. A hold blocks a unit from being sold twice, but a hold that nobody releases quietly freezes your inventory — so PropX puts an expiry on it and shows you, in red, exactly which holds have lapsed and by how long. Your sales head can see at a glance that a unit has been sitting under an expired hold for thirty-eight days, and either convert it or release it back to available stock the same afternoon.

Site visits

In property, the site visit is the conversion event — almost nothing closes without one, and almost nothing is more casually managed. PropX gives site visits their own module: booked against a lead and a project, assigned to an agent, and counted across today, upcoming, overdue and completed.

The overdue counter is deliberately hard to ignore. Nine visits sitting past their date is nine buyers who came, looked, and were never followed up — the single most expensive leak in a real estate sales operation. Each visit records the actual arrival time, the outcome, and free-text notes from the executive, and a call button sits on the card so following up is one tap rather than a hunt for the number.

Indian property buyers negotiate on WhatsApp. If those conversations live on your executives’ personal phones, then your customer history walks out of the door when they resign, and nobody can see whether a buyer was answered in ten minutes or three days. PropX brings it inside the CRM as a shared team inbox on the official WhatsApp Business API.

Conversations are assigned to an owner, tagged, prioritised and resolved like tickets. Response and open times are measured on every thread. The 24-hour customer service window is enforced honestly — when free-text replies close, the app says so and requires an approved template to re-open the conversation, which keeps you compliant rather than quietly failing to deliver messages. Internal notes let a manager brief an executive without the buyer seeing it, and the whole thread is attached to the lead.

Build the automation yourself, on a canvas, without code

The builder is a visual canvas. You drop a trigger, then chain the steps: send a WhatsApp template, send project information or a specific unit’s details, send a curated property list, offer quick replies, or wait for the buyer to respond. Timing nodes let you delay by an interval or wait until a fixed date, so a follow-up lands three days later or the morning before a site visit.

Logic makes it genuinely useful rather than a broadcast tool. Conditions branch on lead attributes, so a fifty-lakh enquiry and a five-crore enquiry are not treated identically. Agent nodes assign an owner, update a lead’s stage, status or tags, or notify an executive with an internal note. Approval nodes with a timeout put a manager in the loop for discounts or hold extensions and move on automatically if nobody responds within a day.

It is our own product, so we configure it around your projects, your sales stages and your team structure rather than asking you to change how you sell to fit the software.

Generic CRMs model a deal as a single amount with a close date. Real estate does not work that way. A property deal is attached to a specific unit in a specific tower or layout, that unit has its own lifecycle (available, temporarily held, booked, sold, registered), and two salespeople must never sell it twice. A generic CRM has no concept of inventory, so builders end up running the units in a parallel spreadsheet — and that spreadsheet, not the CRM, becomes the real source of truth. PropX makes inventory a first-class object: a booking moves the actual unit, holds expire on a timer, and the pipeline and the stock ledger can never disagree. Both, and they are modelled differently because they sell differently. Apartment projects are structured as towers, floors and units, with configuration and carpet or built-up area on each unit. Plot layouts are structured as sections and plot numbers with individual dimensions and square footage, sitting on an interactive master plan you can click. In the same workspace you can run an apartment project in Chennai and a plot layout in Trichy, each with its own pricing logic, and still see one consolidated portfolio value across all of them.

Yes. Leads come in by CSV import, and units can be imported per project rather than typed in one by one, which matters when a layout has several hundred plots. We handle the migration as part of implementation: we map your existing columns to PropX fields, clean the duplicates, preserve the history you care about, and reconcile the unit list against whatever your sales team has been maintaining in Excel. Live lead sources — your website forms, Meta Ads lead forms, portal feeds and Google Sheets — are connected as ongoing integrations so nothing is ever re-keyed by hand.

It runs on the official WhatsApp Business API, not an unofficial automation layer that risks getting your number banned. That means approved message templates, a real shared team inbox where conversations are assigned, tagged and resolved, and the 24-hour customer service window enforced properly — the app tells you when the free-text window has closed and requires an approved template to re-open the conversation. Every message is attached to the lead record, so a salesperson picking up someone else’s conversation sees the entire history including which project the buyer asked about.

It is a visual builder — you drag nodes onto a canvas and connect them, no code. Workflows start from a trigger (a lead is created, a Google Sheet row arrives, a stage changes, or a manual run) and then chain steps: send a WhatsApp template, send project information or a specific unit’s details, wait for the buyer to reply, delay by a set time or wait until a date, branch on a condition, assign an agent, update the lead’s stage or tags, require an approval with a timeout, or notify an agent internally. Workflows are versioned and can be published, paused or archived, so you can change automation safely on a live pipeline.

A typical first go-live is four to eight weeks. Roughly two weeks to configure your projects, unit structures, site plans, sales stages and user roles; a week or two for data migration and integrations; then a supervised period where your sales team runs live on it with us alongside them. Complexity is driven mostly by inventory — a single apartment tower is quick, six layouts with several hundred plots and existing part-paid bookings takes longer to reconcile. Multi-project rollouts are usually phased one project at a time rather than switched over all at once.

That is the point of it. Sales stages, lead sources, unit statuses, qualification fields, WhatsApp templates, approval rules, agent permissions and dashboard metrics are all configured to your business during implementation. Because PropX is our own product rather than something we resell, we can also build genuinely bespoke pieces — a pricing model specific to how you quote, an integration with the accounting or ERP system you already run, a channel-partner portal, or a report your management committee asks for in a particular shape.

Each business gets its own isolated workspace. Inside it, access is role-based: a sales executive sees the leads assigned to them, a sales manager sees the team’s pipeline and approvals, and an administrator controls projects, pricing, users and integrations. Actions on units and bookings are recorded, so you can see who moved a unit to sold and when. Data is hosted in the cloud with encryption in transit and at rest, backed up, and exportable — you can pull your leads, bookings and unit data out at any time, and it stays yours.

Pricing depends on the number of projects and units you are running, how many sales users need access, which integrations you need, and how much bespoke work sits on top of the standard configuration. WhatsApp messaging is billed by Meta on a per-conversation basis and is passed through separately.
