Rohaan Constructions

Portal leads into site visits, and every project’s numbers in the open

Rohaan Constructions sells homes in Chennai through property portals and Meta ads. We connected MagicBricks, 99acres, Housing.com and Meta lead ads to Zoho CRM and built a site-visit pipeline for the sales team — then implemented Zoho Books to show what the company spends and earns on each project, with a cash flow statement that shows whether the money is there.

The brief

What Rohaan needed

A developer’s leads come from several property portals and from social media ads at the same time. Each portal has its own dashboard and its own alerts, and a buyer who enquires on two portals shows up twice. In real estate the lead that matters is the one who walks onto the site — and that step is easy to lose between a phone call and a calendar.

On the finance side, a builder runs several projects at once. Knowing whether each project is making money, and whether the company has the cash to keep every site moving, needs spend and income tracked project by project.

The system had to

  • MagicBricks, 99acres, Housing.com and Meta ads leads in one CRM
  • A sales pipeline built around site visits
  • Spend and income tracked against each project
  • A cash flow statement that shows whether the money is there

How it flows

From the first touch to the final number

Sales runs from Zoho CRM, finance from Zoho Books — both organised around the same projects.

  • Zoho CRM
  • Zoho Books

  1. 01

    MagicBricks · 99acres · Housing.com · Meta ads

    Portal and ad enquiries

Leads from all three portals and Meta lead ads flow into Zoho CRM without anyone downloading or retyping them.

  2. 02

    Zoho CRM

    Lead captured with its source

Each lead is recorded with the portal or campaign it came from and assigned to a salesperson.

  3. 03

    Zoho CRM

    Site visit scheduled

Once the buyer is interested, the visit is booked in the pipeline with a date and an owner.

  4. 04

    Zoho CRM

    Visit done, follow-up

After the visit, the salesperson logs the outcome and the next step, until the buyer books or drops out.

  5. 05

    Zoho Books

    Project spend and income

In Zoho Books, every expense and every receipt is recorded against the project it belongs to.

  6. 06

    Zoho Books

    Cash flow statement

Management reads project-wise profitability and a clear cash flow statement to see whether the company has the money it needs.

What changed

What the team runs on now

All portals, one pipeline

Sales works from one list instead of three portal dashboards and an ads inbox.

Site visits you can count

Every visit is scheduled, owned and followed up inside the CRM.

Profit by project

Spend and income are visible for each project, not only for the company as a whole.

Cash position, clearly

The cash flow statement shows whether the money is there before the next commitment is made.
